Terms of service

Last updated 13 October 2026

These terms are the agreement between you and PhoneCalendar for use of the website, the booking pages and the dashboard. By creating an account or booking a slot through a PhoneCalendar link, you accept them. If you are accepting on behalf of an organisation, you confirm you are authorised to bind it.

1. What the service does

PhoneCalendar lets a host publish availability and share booking links. When a guest picks a slot, we create a scheduled event in that guest’s WhatsApp chat containing the title, times and call type configured by the host. We are a scheduling layer; we are not a calling provider and not a calendar of record.

Delivery of the event depends on WhatsApp, which we do not control. We may retry a failed delivery, but we do not guarantee that any given event will be created, received or seen. Treat an important meeting as confirmed only when both parties have acknowledged it.

2. Your account

You must be at least 16 and provide accurate details. You are responsible for everything done under your account and for keeping your sign-in credentials and passkeys secure. Tell us promptly if you suspect unauthorised access.

Invite links and booking management links are capabilities: anyone holding one can act on it. Share them only with the person they are meant for.

3. Guest details and consent

This clause matters most, because using the service causes a phone number to be sent to a third party. When you enter or upload a guest’s name and phone number — whether by creating an invite or otherwise — you represent and warrant that:

  • you obtained those details lawfully and have a valid basis to use them;
  • you are permitted to have a scheduled event created in that person’s WhatsApp chat, and they would reasonably expect contact from you;
  • you will not use PhoneCalendar to reach people who have asked you to stop, or to send unsolicited bulk or marketing messages; and
  • you will honour any request from that person to be removed, and comply with the marketing, privacy and anti-spam laws that apply to you.

You are the controller of the guest details you supply. You indemnify us against claims, losses and penalties arising from your breach of this clause.

4. Acceptable use

You agree not to:

  • use the service for spam, harassment, fraud, phishing or impersonation;
  • send messages, photos, videos, voice notes or calls that are objectionable — including content that is hateful, threatening, sexually explicit, exploitative of children, violent, defamatory or otherwise unlawful;
  • put unlawful, deceptive or abusive content into an event title, description or location, or use event templates as a messaging channel;
  • probe, scrape, overload or attempt to bypass rate limits, authentication or token checks, or enumerate invite or management links;
  • resell or white-label the service without our written agreement; or
  • breach the terms of WhatsApp or Meta, whose rules apply to you independently of ours.

We may suspend or terminate an account that breaches this section, immediately where the breach is serious or puts other users at risk.

There is zero tolerance for objectionable content or abusive users. In the app you can block anyone and report them from the conversation menu; reporting also blocks them. Because chat is end-to-end encrypted we cannot read conversations, so we act on reports: we review every report within 24 hours and remove offending users and the ability to message from their account.

5. Bookings, cancellation and no-shows

A booking is an arrangement between host and guest. We do not mediate, refund or enforce it. Either party may cancel or reschedule using the links provided; a cancellation through PhoneCalendar will attempt to cancel or update the WhatsApp event we created, but may not always succeed.

Hosts are responsible for the accuracy of their published availability, timezone and call length.

6. Fees

Any paid plan, its price and its billing cycle are as described at the point of purchase. Fees are charged in advance, are non-refundable except where the law requires otherwise, and are exclusive of taxes. We will give notice before a price change takes effect at your next renewal; you may cancel rather than accept it.

7. Intellectual property

We own the service, its software and its branding. You keep ownership of the content you put into it — schedules, templates and event text — and grant us the licence needed to host, process and transmit that content in order to run the service, including sending it to WhatsApp to create your events.

8. Third-party services

WhatsApp is a third-party service with its own terms. PhoneCalendar is independent and is not affiliated with, endorsed by or sponsored by WhatsApp LLC or Meta Platforms, Inc. We are not responsible for changes, outages or account actions on their side, and their handling of data we transmit is governed by their policies.

9. Availability and changes

We aim to keep the service running but do not promise uninterrupted availability. We may change, suspend or discontinue features, and will give reasonable notice of a material reduction where we can. Beta or preview features are provided as-is and may be withdrawn.

10. Disclaimer

To the fullest extent permitted by law, the service is provided “as is” and “as available”, without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose and non-infringement. We do not warrant that events will be delivered on time, or at all.

11. Limitation of liability

To the fullest extent permitted by law, we are not liable for indirect, incidental, special or consequential loss, nor for lost profits, lost business, lost data or missed meetings. Our total aggregate liability arising out of these terms is limited to the greater of the amount you paid us in the twelve months before the claim, or USD 100.

Nothing in these terms excludes liability that cannot lawfully be excluded, including for fraud or for death or personal injury caused by negligence.

12. Termination

You may stop using the service and delete your account at any time. We may terminate or suspend access for breach of these terms, for legal reasons, or on reasonable notice if we discontinue the service. On termination, your right to use the service ends and your data is deleted per our privacy policy. Clauses 3, 7 and 10 to 13 survive.

13. General

If a provision is found unenforceable, the rest stays in force. Our failure to enforce a term is not a waiver of it. You may not assign these terms without our consent; we may assign them in connection with a merger or sale of the business. These terms, together with the privacy policy, are the entire agreement between us on this subject.

We may update these terms; the date at the top of this page shows when. Material changes will be notified to your account email before they take effect, and continuing to use the service afterwards means you accept them.

14. Contact
